Question 1

How do I book a meeting with Hanani?

Visit the homepage at hanani.net and scroll to the Booking Categories section. Select the type of meeting you need — Recruitment, Sales Enquiry, Project Meeting, or General Query — then follow the five-step booking flow: choose a duration, enter a topic, pick a date and time, fill in your details, and confirm. You'll receive a confirmation email with a calendar invite and meeting link.

What types of meetings can I book?

There are four booking categories:
• Recruitment — candidate interviews, hiring discussions, and performance reviews.
• Sales Enquiry — new business, proposals, and pricing discussions.
• Project Meetings — ongoing project check-ins and communications.
• General Queries — any other topic (capped at 60 minutes).

What durations are available?

Accepted Answer

Available durations depend on the booking category. Most categories offer 30, 45, 60, 90, and 120-minute slots. General Queries are capped at 60 minutes. The system will only show durations that fit within available time slots.

What are the available booking hours?

Accepted Answer

Bookings are available Monday to Friday, 08:00–17:00 SAST (South Africa Standard Time). Weekends and South African public holidays are blocked and cannot be selected.

Question 5

Can I book on a South African public holiday?

Accepted Answer

No. All South African public holidays are automatically blocked in the booking system. If you try to select a public holiday, those dates will appear greyed out in the calendar.

I'm a candidate — how do I book an interview?

Accepted Answer

You can book an interview directly at hanani.net/book/recruitment or via the Interviews page on hanani.co.za. Select "Candidate Interview" as your topic, choose a duration and available time slot, and complete your details. You'll receive a confirmation email with the meeting link.

How do I book a performance review (staff)?

Accepted Answer

Staff members can book a performance review from the hananirecruits.com staff portal, or directly at hanani.net/book/recruitment — the topic will be pre-filled as "Performance Review". Select your preferred date and time and complete the form.

What video platforms are supported?

Accepted Answer

Hanani Booking Page supports Zoom, Microsoft Teams, and Google Meet. The meeting link is generated automatically based on the employer's preferred platform setting. You'll receive the link in your confirmation email.

Question 9

Where do I find my meeting link?

Accepted Answer

Your meeting link is included in the confirmation email sent immediately after booking. It is also included in the .ics calendar invite attached to that email. If you cannot find it, check your spam folder or use the reschedule link in the email to view your booking details.

The meeting link in my email isn't working — what do I do?

Accepted Answer

First, make sure you're clicking the full link and not a truncated version. If the link still doesn't work, contact the Hanani team at support@hanani.co.za with your booking reference number (found in the subject line of your confirmation email) and they will resend the link.

Will I receive a calendar invite?

Accepted Answer

Yes. A .ics calendar file is attached to your confirmation email. Opening it will add the meeting to your calendar app (Outlook, Google Calendar, Apple Calendar, etc.) with the meeting link, date, time, and duration pre-filled.

What is Read.ai and will it join my meeting?

Accepted Answer

Read.ai is an AI notetaker that can automatically join meetings to generate transcripts and summaries. If the employer has enabled Read.ai, notetaker@read.ai will be added as an attendee to your calendar invite. You will be able to see this in the invite before the meeting.

How do I reschedule my booking?

Accepted Answer

Your confirmation email contains a "Reschedule" link. Click it to open the rescheduling page, where your existing booking details will be pre-filled. Select a new date and time and confirm — you'll receive an updated confirmation email with the new calendar invite.

How do I cancel my booking?

Accepted Answer

Your confirmation email contains a "Cancel" link. Click it to cancel your booking. You'll receive a cancellation confirmation by email. Please cancel as early as possible so the time slot can be made available to others.

Can I change the topic or duration when rescheduling?

Accepted Answer

The rescheduling flow allows you to select a new date and time. If you need to change the topic, duration, or booking category, it is best to cancel the existing booking and create a new one.

What happens if I miss my meeting?

Accepted Answer

If you miss a meeting without cancelling, please contact the relevant Hanani team by email to apologise and request a new slot. Repeated no-shows may affect future booking availability.

How far in advance can I book?

Accepted Answer

The booking calendar typically shows availability up to 60 days in advance. If you need to book further ahead, contact the relevant team directly by email.

Why are no time slots showing for a date I selected?

Accepted Answer

This can happen for several reasons: the date may be a public holiday, all slots for that day may already be booked, or the employer may have manually blocked that time. Try selecting a different date or a shorter duration — shorter meetings often have more available slots.

Why is a specific time slot greyed out?

Accepted Answer

Greyed-out slots are either already booked, blocked by the employer, or fall outside business hours (08:00–17:00 SAST). The system checks live availability including the employer's connected Google and Outlook calendars, so external meetings also block slots.

Can two people book the same time slot?

Accepted Answer

No. The system prevents double-bookings in real time. Once a slot is confirmed, it is immediately removed from availability for all other bookers.

Question 21

I selected a time but it was taken by the time I confirmed — what now?

Accepted Answer

If a slot is taken between your selection and confirmation, you'll see an error message and be asked to choose a different time. This is rare but can happen during high-demand periods. Simply go back and select another available slot.

How do I access the Employer Portal?

Go to hanani.net/portal and log in with your employer credentials. If you don't have an account, contact the Hanani admin team to have one created for you.

How do I connect my Outlook or Google Calendar?

In the Employer Portal, open the "Connections" panel in the right sidebar and click "Connect" next to Outlook or Google. You'll be redirected to Microsoft or Google to authorise the connection. Once connected, your calendar events will automatically block those times for external bookers.

How do I connect Zoom?

In the Employer Portal, open the "Connections" panel and click "Connect" next to Zoom. You'll be redirected to Zoom to authorise. Once connected, Zoom meeting links will be generated automatically for confirmed bookings (if Zoom is set as your preferred platform).

How do I set my preferred meeting platform?

In the Employer Portal, open the "Meeting Platform" panel and select your preferred platform from the dropdown. Only platforms you have connected will be available. This setting determines which type of meeting link is generated when a booking is confirmed.

How do I share my booking link?

In the Employer Portal, open the "Booking Links" panel. Each enabled category shows a copy button and an external link button. Click the copy button to copy the link to your clipboard, then share it via email, your website, or any other channel.

How do I block time so no one can book during a specific period?

Accepted Answer

In the Employer Portal calendar view, click the "Block Time" button in the toolbar. Select the date, start time, end time, and an optional label. The blocked slot will appear as an orange event on your calendar and will be invisible to external bookers — those times will simply show as unavailable.

How do I enable or disable a booking category?

In the Employer Portal, open the "Booking Links" panel. Each category has a toggle switch. Disabling a category hides it from the public booking flow and removes the booking link.

How do I set up Asana integration?

In the Employer Portal, open the "Asana" panel. Enter your Asana Personal Access Token (PAT), your Project GID, and optionally an Assignee GID. Once saved, a task will be automatically created in your Asana project every time a booking is confirmed.

What does enabling Read.ai do?

Accepted Answer

When Read.ai is enabled in the Employer Portal, the email address notetaker@read.ai is automatically added as an attendee to every calendar invite. Read.ai will then auto-join the meeting and generate a transcript and summary, which you can access in your Read.ai account.

Where do I manage all my connections and settings?

Accepted Answer

All connections and settings are managed from the Employer Portal at hanani.net/portal. After signing in, the right-hand sidebar contains five collapsible panels: Connections, Meeting Platform, Booking Links, Asana, and Read.ai. The Connections panel is open by default when you first log in.

How do I connect my Google Calendar?

Accepted Answer

In the Employer Portal, open the Connections panel and click Connect next to Google. You will be redirected to Google's authorisation page — sign in with the Google account whose calendar you want to sync and grant the requested permissions.

Once connected, the system reads your Google Calendar in real time. Any existing or new events on your calendar will automatically block those time slots so external bookers cannot select them. The connection status pill in the portal top bar will turn green.

How do I connect my Outlook / Microsoft 365 Calendar?

In the Employer Portal, open the Connections panel and click Connect next to Outlook. You will be redirected to Microsoft's authorisation page — sign in with your Microsoft 365 or Outlook account and grant the requested permissions.

Once connected, the system reads your Outlook calendar in real time. Existing and new Outlook events will block those time slots for external bookers. The connection status pill in the portal top bar will turn green.

Note: Your Microsoft account must belong to the Hanani Azure AD tenant. If you receive an access error, contact the Hanani admin team.

How do I connect Zoom?

Accepted Answer

In the Employer Portal, open the Connections panel and click Connect next to Zoom. You will be redirected to Zoom's authorisation page — sign in with your Zoom account and approve the connection.

Once connected and set as your preferred platform, Zoom meeting links are generated automatically every time a booking is confirmed. You will also receive a host start URL in your employer notification email, which lets you start the meeting as the host directly from your inbox.

How do I connect Microsoft Teams?

Microsoft Teams meeting links are generated using your connected Microsoft 365 account — there is no separate Teams connection step. Once your Outlook / Microsoft 365 account is connected (see above), simply set Microsoft Teams as your preferred meeting platform in the Meeting Platform panel. Teams links will then be created automatically for all confirmed bookings.

How do I connect Google Meet?

Google Meet links are generated using your connected Google account — there is no separate Meet connection step. Once your Google Calendar account is connected (see above), simply set Google Meet as your preferred meeting platform in the Meeting Platform panel. Meet links will then be created automatically for all confirmed bookings.

How do I choose my preferred meeting platform?

In the Employer Portal, open the Meeting Platform panel. A dropdown lists all platforms you have connected (Zoom, Microsoft Teams, Google Meet). Select the one you want to use as your default.

This setting controls which type of meeting link is generated when a booking is confirmed. Only connected platforms appear in the dropdown — connect a platform first if it is not showing. You can change your preferred platform at any time and it will apply to all future bookings.

What happens if I have no meeting platform connected?

If no meeting platform is connected, the system will still confirm bookings but will not be able to generate a video meeting link. Bookers will receive a confirmation email without a meeting link. It is strongly recommended to connect at least one platform before sharing your booking links.

How do I find and share my booking links?

In the Employer Portal, open the Booking Links panel. Each booking category (Recruitment, Sales, Project Meetings, General Queries) has its own unique link. For each enabled category you will see:
• A toggle to enable or disable that category
• A copy button to copy the link to your clipboard
• An open button to preview the booking page

Share the relevant link via email, your website, or any other channel. You can also share the links directly from hanani.co.za — the Interviews page links to the Recruitment booking flow and the Employer Calendar page links to your portal.

How do I enable or disable a booking category?

Accepted Answer

In the Booking Links panel, each category has a toggle switch. Turning a category off removes it from the public booking flow — bookers who visit that link will see it as unavailable. Turn it back on at any time to re-enable it. This is useful if a particular service is temporarily paused.

How do I set up the Asana integration?

Accepted Answer

In the Employer Portal, open the Asana panel and fill in three fields:
• Personal Access Token (PAT) — generate this in your Asana account under Profile → Apps → Developer Apps → Personal Access Tokens.
• Project GID — the numeric ID of the Asana project where tasks should be created. Find it in the project URL: app.asana.com/0/[Project GID]/list.
• Assignee GID (optional) — the numeric ID of the Asana user the task should be assigned to. Find it in the user's profile URL.

Once saved, a new task is automatically created in your Asana project every time a booking is confirmed. The task includes the booker's name, email, meeting topic, date, time, and duration.

What is Read.ai and what exactly does it do during a meeting?

Read.ai is an AI-powered meeting intelligence tool. When you enable it in the Employer Portal, the email address notetaker@read.ai is automatically added as an attendee to every calendar invite that goes out with a confirmed booking.

Here is exactly what happens during the meeting:
• Read.ai joins as a silent bot participant — it appears in the meeting as "Notetaker" or "Read.ai Notetaker". It does not have a camera or microphone and does not speak.
• It records and transcribes the conversation in real time, attributing speech to each named participant.
• It generates an AI summary of the meeting — key topics discussed, decisions made, and action items — delivered to your Read.ai account shortly after the meeting ends.
• It scores meeting engagement — tracking talk time, sentiment, and participation balance.
• The transcript and summary are private to your Read.ai account — they are not shared with the booker unless you choose to share them.

Bookers will be able to see notetaker@read.ai listed as an attendee in their calendar invite before the meeting, so they are aware a notetaker will be present. If a booker objects, you can disable Read.ai for that booking by removing the attendee from the calendar event manually.

How do I enable or disable Read.ai?

In the Employer Portal, open the Read.ai panel and toggle the switch on or off. When enabled, notetaker@read.ai is added to all future booking calendar invites automatically. Disabling it stops the notetaker from being added to new bookings — it does not affect calendar invites that have already been sent.

Do I need a Read.ai account to use the integration?

Yes. You need an active Read.ai account (read.ai) for the notetaker to deliver transcripts and summaries to you. The integration works by adding Read.ai's notetaker email to the calendar invite — Read.ai's own system handles the rest. Sign up at read.ai before enabling the integration.

Can I connect all platforms at the same time?

Yes. You can have Google Calendar, Outlook, and Zoom all connected simultaneously. The system will read availability from both Google and Outlook calendars when checking for free slots. For meeting link generation, only your preferred platform setting is used — so even if all three are connected, only one type of link is generated per booking.

Is my personal information safe?

Yes. Hanani Booking Page is operated by Hanani Project Management Solutions (Pty) Ltd and complies with the Protection of Personal Information Act (POPIA). Your data is used only to facilitate the booking and is not shared with third parties beyond the meeting platform providers (Zoom, Microsoft, Google) required to generate your meeting link.

Why does the booking form ask for my company name?

The company name field helps the Hanani team prepare for the meeting and route your booking to the correct team. It is not required for Candidate Interviews or Performance Reviews.

What email address will my confirmation come from?

Accepted Answer

Confirmation emails are sent from bookings@hanani.net. If you don't receive a confirmation within a few minutes of booking, check your spam or junk folder and add bookings@hanani.net to your safe senders list.

Can I book on behalf of someone else?

Accepted Answer

Yes. Fill in the booker details with the attendee's name and email address so they receive the confirmation and calendar invite directly. Add a note in the description field to let the Hanani team know you are booking on someone else's behalf.

Hanani Booking Page works on all modern browsers including Chrome, Firefox, Safari, and Edge. JavaScript must be enabled. If you experience issues, try clearing your browser cache or using a different browser.
